Draft effective date: September 15, 2026
Information we collect
- Account information such as your email address, sign-in details, and profile name.
- Contact information you choose to provide, such as your name, business name, phone number, and mailing address.
- Support messages, their status, your preferred reply method, and the service history needed to answer and resolve your request.
- Your separate choices about optional email and text announcements, including when and where a choice was recorded.
- Bookkeeping information you choose to enter, including Houses, accounts, transactions, categories, notes, subscriptions, trials, budgets, and reconciliation records.
- Receipts and information read from receipts when you choose to use receipt scanning.
- Basic technical and security information needed to run, protect, and troubleshoot the service.
- Billing and subscription status when paid plans are enabled. Payment card details should be collected directly by the payment processor and not stored by this app.
How we use information
- Provide the bookkeeping, reporting, receipt, planning, and account features you request.
- Secure accounts, prevent abuse, investigate problems, and preserve an activity history.
- Send service, security, billing, and support messages.
- Improve reliability and usability using limited operational measurements.
- Meet legal obligations and enforce the Terms of Service.
Email and text choices
Marketing permission is optional and is not required to create an account or buy a membership. Email and text choices are stored separately. A phone number or email collected for payment, security, support, or account service is not treated as permission for marketing. Customers can change their choices from the Contact & Message Choices page. Marketing emails will provide an unsubscribe method, and marketing texts will support recognized stop and help instructions before text sending is enabled.
Service providers
Best Darn Finance App uses carefully selected providers to operate the service. These currently include Supabase for database, authentication, and private file storage; Vercel for application hosting; Google Gemini for receipt reading only when you ask the app to read a receipt; and Stripe for hosted checkout, payment processing, and subscription management when paid plans are enabled. Full payment-card numbers go directly to Stripe and are not stored by Best Darn Finance App. Resend is planned for service email. Each provider processes information under its own terms and privacy commitments.
Receipt reading
When you choose automatic receipt reading, the receipt is securely sent to the configured artificial-intelligence provider so merchant, date, and amount information can be suggested. You must review suggestions before relying on them. Receipt reading is optional, and provider processing must be disclosed before the feature is used.
Sharing and selling
We do not sell personal information. Information is shared only with service providers needed to operate the app, when you direct us to share it, during a lawful business transfer, or when legally required.
Retention and deletion
Bookkeeping records are kept while your account is active and for the documented period needed for backups, fraud prevention, legal obligations, and dispute handling. Before launch, the final retention schedule will identify how long live data, backups, audit records, and support records are kept. Signed-in customers can download their available records and submit a verified deletion request from the Your Data page.
Your choices and rights
Depending on where you live, you may have rights to access, correct, export, delete, or restrict use of personal information and to appeal a privacy decision. The Your Data page provides export and verified deletion-request controls. The final privacy contact will also receive and verify these requests.
Security
We use access controls, encrypted connections, provider encryption at rest, private receipt storage, row-level database protection, activity records, and testing intended to protect customer information. No system can promise perfect security. Security concerns can be reported through the Contact John support page and the final security email published before launch.
Children
The service is intended for adults and businesses and is not directed to children under 13. The final Terms will state the minimum account age required for the markets where the service is offered.
Changes and contact
Material changes will be announced through the app or the verified customer email address. The operating business name, mailing address, privacy email, and request-response timetable must be inserted here before launch.
